Privacy Policy
How Roof Guard Queensland collects, uses, stores and protects your personal information, and how you can access or correct it.

We collect personal information so we can run our business and deliver roof maintenance services to you. We don't sell your data, we don't share it with marketing partners, and we don't use it for anything you haven't agreed to. This policy explains what we collect, why, how we protect it, and how you can access or correct it.
1. Who we are
Roof Guard Queensland Pty Ltd (ABN 27 599 310 226) operates a subscription roof maintenance and inspection service across South East Queensland. In this policy, "we", "us" and "our" mean Roof Guard Queensland Pty Ltd. "You" means a customer, prospect, supplier, partner, or visitor to our website.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we comply with those obligations.
2. What personal information we collect
Depending on your relationship with us, we may collect:
- Identification — name, date of birth (where required for verification), and signature.
- Contact details — postal and property addresses, phone number, email address.
- Financial information for billing — bank account or card details used for direct debit; ABN and GST registration for partners and subcontractors.
- Property information — photographs of your property's roof and surrounds, inspection notes, maintenance records and reports.
- Communication records — emails, SMS, phone notes, and call recordings where you have been notified.
- Website usage — aggregate, non-identifying analytics as described in section 10.
We do not knowingly collect sensitive information such as health, religious or political information. If you provide it incidentally, we will not use it beyond what is necessary to respond to you.
3. Why we collect it
- To respond to enquiries and prepare proposals.
- To deliver our services — schedule inspections, prepare reports, perform maintenance.
- To bill you and process payments, including direct debit.
- To communicate with you about your subscription, scheduled work and account.
- To meet our legal and regulatory obligations (QBCC, ATO, AusPayNet).
- To improve our services, train staff and resolve complaints.
- With your consent, to send you marketing communications you can unsubscribe from at any time.
4. How we collect it
- Directly from you — when you contact us, request a quote, sign an agreement, or provide details during an inspection.
- From your representatives — such as a property manager or real estate agent acting for you.
- From referral partners — limited to the information needed to follow up an introduction, with your consent.
- From our website and email systems — analytics and engagement data, as described in section 10.
5. Who we share it with
We share personal information only when necessary, and only with parties bound by their own privacy obligations:
- Our subcontractors and inspectors — strictly to deliver the service you have engaged.
- Our payment provider, bank and direct debit processor — to bill you.
- Our cloud and IT providers, such as email and document storage — under appropriate contractual protections.
- Our accountants, auditors and solicitors — only where needed to operate or defend the business.
- Regulators and law enforcement — only when required by law (QBCC, ATO, courts).
- A purchaser of all or part of our business — only with appropriate safeguards in place.
We do not sell personal information. We do not share data with marketing networks or data brokers.
6. Overseas disclosure
Some of our IT providers, such as cloud email and document storage, may store data on servers outside Australia — typically in the United States or the European Union. We take reasonable steps to ensure those providers handle data consistently with the APPs. We will not transfer data to a country that does not have substantially similar protections without your consent or a legal basis to do so.
7. How we store and protect it
- Digital records are stored on encrypted, access-controlled cloud systems.
- Paper records are kept securely at our registered office.
- Access is restricted to staff and contractors who need it to do their job.
- Bank and card details are stored only with PCI-compliant payment processors — we do not retain full card numbers ourselves.
- We retain records only as long as legally required, or as long as needed for the original purpose, then securely destroy or de-identify them.
8. Inspection photographs
Photographs taken during inspections of your property are retained as part of your maintenance record. They are used to:
- Document the condition of the roof for the inspection report and your maintenance file.
- Provide evidence to you and, if you choose, your insurer.
- Train our staff and contractors, with all identifying details removed.
We do not use inspection photographs in marketing or on social media unless you sign a separate Photography & Media Release.
9. Marketing communications
- We only send marketing emails to people who have opted in or have an existing service relationship with us, in line with the Spam Act 2003 (Cth).
- Every marketing email contains a one-click unsubscribe link.
- You can opt out of marketing at any time by emailing info@roofguardqld.com.au.
- Opting out of marketing does not affect service communications about your subscription.
10. Cookies and website analytics
This website does not use cookies. We use Plausible Analytics, a privacy-respecting, cookieless analytics tool that collects aggregate, non-identifying information about how the site is used — pages viewed, referring site, approximate country, and device type.
No personal information is collected by our analytics, nothing is transmitted to third-party marketing networks, and no cross-site tracking takes place. Because no cookies are set and no personal data is collected, no cookie consent banner is required.
The quote form on this site is processed by Netlify Forms and the information you submit is sent to us by email. It is used only to respond to your enquiry.
11. Your rights
- Access — you can request a copy of the personal information we hold about you, free of charge.
- Correction — you can ask us to correct any information that is inaccurate, out of date or incomplete.
- Withdrawal — you can withdraw consent to non-essential uses, such as marketing, at any time.
- Complaint — you can raise a privacy complaint with us and we aim to respond within 30 days. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

13. Changes to this policy
We may update this policy from time to time. The current version is always available at this address with the effective date shown at the top. Material changes will be notified to subscribers by email at least 14 days before they take effect.
